PGIM REF originates a widevariety of commercial mortgage investments for Prudential's General Account,investment management clients, CMBS Program and third party capital sources(such as Fannie Mae, Freddie Mac, FHA, and institutional investors).
PGIM REFs San Francisco office is seeking a proactive, motivatedand organized Senior Administrative Assistant who will provide administrativesupport directly to the Managing Director and several other executives fromvarious lines of business all located in the San Francisco office, and will beresponsible for ensuring all members of the office are provided with qualityadministrative support. The successfulcandidate should consider him or herself an administrative expert and haveextensive experience as an office manager and/or executive assistant.
Responsibilitiesinclude, but will not be limited to:
Maintainschedules for multiple executives, requiring coordinating calendars, preparingfor meetings and conference calls and having all related documentation andlogistics in place.
Arrangeand coordinate travel and corresponding logistics, including processing travelexpenses in a timely and efficient manner.
Manageother administrative staff member(s) in executing any administrative need forthe office.
Registerexecutives for industry conferences and, if speaking role, coordinate with sponsoringorganization on speaker information and audio/visual needs.
Scheduleand prepare for large or complex meetings with key clients and/or high-levelexecutives. This could include coordinatingcalendars and managing the invitation process, preparing agendas, reserving andpreparing facilities, coordinating meals and lodging and recording andtranscribing minutes of meetings.
Prepareand update spreadsheets and PowerPoint presentations of moderate to significantcomplexity.
Prepareand submit vouchers to Accounts Payable for processing and reconciliation oferrors or discrepancies.
Handletelephone and /or written contact with external and internal associates.
Providegeneral administrative support, such as, typing, photocopying, calendaring, andmaintaining files and supplies.
Openand distribute mail, including confidential, high priority and follow-up items. Prepare outgoing mail and correspondence,including e-mail, faxes and overnight packages.
Maintaintrade associate memberships and subscriptions.
Overseethe onboarding process for new-hires ensuring they have the appropriatecomputer equipment, software, and security identification in a timely manner.
Extensiveexperience as an administrative expert, a minimum of 5-7 years experiencepreferred.

Completedcoursework from an accredited college/university preferred.
