CLA is seeking an eager and exceptional Office Coordinator to join our Operations team in San Antonio, TX. The ideal candidate is well organized, solution-oriented, and able to take initiative.

Job Task and Responsibilities:

  • Manage daily cash flows and financial analysis
  • Collect on outstanding accounts receivable
  • Provide support to our client serving teams in both audit and tax
  • Conduct client serving processes as requested by audit and tax leadership
  • Accountable for supporting leaders in managing business database functions
  • Maintain client data and updating as requested
  • Assist in ensuring deadline are met and providing reporting updates
  • Manage workflow systems to ensure accurate maintenance of client data

Tax specific:

  • Assembling and mailing tax organizers
  • Organizing and scanning client documents
  • Assembling final tax returns and preparing extensions
  • Track and manage tax eFile deadlines for the local office
  • Tax form management, collect and process in a timely manner

Audit specific:

  • Assist leaders with sending client Engagement Letters, reports and other letters
  • Database management
  • Process documents in internal systems
  • Respond to leader and client needs
  • Proactively engage office paraprofessionals to assist with peak filing deadlines

This is a meaningful role for our organization with a wide range of responsibilities, including the following:

  • High school degree minimum and three years of related administrative experience
  • Advanced proficiency with STAR or similar practice management software
  • Proficiency in Microsoft Word and other Office Products
  • Ability to quickly master new software applications as needed
  • Possess several key attributes including client service excellence, clear communication, leading with impact, ability to maintain confidentiality, detail oriented, interpersonal skills, and ownership mindset
  • Ability to interact with all levels of the organization

We believe the right individual will have the following skills and experience to be successful in the role:

  • Proficient in Microsoft Suite / Office applications: PowerPoint, Word, and Excel
  • Able to maintain confidentiality regarding sensitive issues or information
  • Able to interact with individuals at all levels of an organization
  • Proven ability to work under pressure, perform efficiently, handle multiple high priority tasks simultaneously, and meet tight deadlines
  • Strong interpersonal skills to create and maintain positive and effective working relationships
