Management Assistant
[Type of contract : CDI , Work regime : 100%, Location : Marnix]

Your role & work environment

As Management Assistant you are working for Senior Managers and their teams. You help them in planning and organising and support them in their activities.
You are working for the department Wholesale Banking - Clients Belgium which is organised in 6 different sectors covering Large Corporate Banking Companies.

Your key responsibilities
[Responsibility 1] - Relations with customers and daily administrative workflow
- Organisation of internal and client meetings, lunches and dinners (booking meeting rooms, ordering meals & beverages, booking parking spaces via AEOS & AEOS VIP tools, confirmation mails)
- Sending invitations and confirmations to customers for cultural activities, conferences, presentations, marketing events, etc
- Dispatching of internal/external post, phone calls (daily)
- Organisation and booking of international travels (flights, hotels, trains)
- Ordering of office furniture, IT equipment, business cards with E-shop and my Workplace
- Organising the arrival and helping with the onboarding of new colleagues according to a check list
- Contribution to the well-being of the colleagues: support for specific problems such as facility problems, IT problems, etc.

[Responsibility 2] - Finance
- Registration of expense notes (cash & Mastercard) for Senior Managers
- Purchase orders : introduction of requests via Ibuy and Spotbuy tools, follow-up according to invoices, creation and check of suppliers
[Responsibility 3] - WB Risk & Compliance
- Management of accesses to the floor via AEOS tool (new requests in accordance with Compliance and removals on daily basis or annual update)
- Management of IT accesses via Aveksa tool (new requests and removals on daily basis or annual update)
- Follow instructions and procedures relating to Compliance and ORM in general (Clean Desk, Chinese Walls)
- Follow all mandatory e-learning courses, workshops and presentations within the deadlines

  • a Bachelor or equivalent experience
  • minimum 3 years of practical experience
  • a good knowledge of Microsoft Office applications (Word, Excel, Powerpoint)
  • a good knowledge (written, oral) of English, French, Dutch
  • you are resistant to stress, well organised and last but not least friendly
