The Operations & Events Officer of CFA Society France develops and enacts the Society’s policies and increases efficiency of operations to serve the Society’s mission. Responsibilities include, but are not limited to, CRM maintenance, event organization and communication and office management. The Operations & Events Officer will report to and assist the Executive Director in daily tasks and duties and collaborate with the staff at CFA Institute.

CFA Society France is a non-profit organization located in Paris. Our mission is to provide our members with professional development, sense of community and networking opportunities primarily via regular conferences and events. We also seek to maintain constructive relations with local financial and regulatory institutions and promote the professional and ethical standards of CFA Institute. CFA Institute is a global, nonprofit member organization of financial analysts, portfolio managers, and other investment professionals. CFA Society France is a member of the CFA Institute Global Network of Societies.

 

Mission

The Operations & Events Officer of CFA Society France (the Society) develops and enacts the Society’s policies and increases efficiency of operations to serve the Society’s mission. The Operations & Events Officer will oversee and direct daily company administrative processes and procedures. These include, but are not limited to, CRM maintenance, event organization and communication and office management.

The Operations & Events Officer will report to and assist the Executive Director in daily tasks and duties and collaborate with the staff at CFA Institute. The Executive Director will oversee goals, objectives and compensation for the Operations & Events Officer.

 

Responsibilities

Operations management

  • Update and maintain the CRM of the Society
  • Support various committees in logistic and administrative processes
  • Draft and maintain operational procedures
  • Assist the Executive Director in annual reports on key performance indicators for the Board of Directors
  • Travel when needed to society meetings and industry events with occasional international travel in collaboration with CFA Institute

Event management

  • Coordinate external and internal events from logistics (badges, tally, venue, trips, caterers) to mailing invitations
  • Occasionally, participate in events to provide operational support
  • Assist in the organisation and management of flagship events: annual general meeting and research challenge

Office management

  • Responsible for the smooth running of the future office  
  • Process mail, mailings, answer the phone, manage the agenda, coordinate administrative work
  • Organize meetings and manage relationship with suppliers

Communication:

  • Check and ensure the correct treatment of incoming mail to the generic info mail of the Society
  • For each event organized by CFA Society France, create all communication materials, update the website, create and deliver a satisfaction survey
  • Maintenance of digital content in various platforms

 

Qualifications

Candidates should have 7-10 years’ experience out of which 2+ years’ experience in operations or event management, preferably in financial education or FinTech.

 

 

Specific requirements  

  • Bilingual English/French
  • Proficiency in Microsoft Suite and other operational software, particularly Salesforce
  • Strong interpersonal skills with the ability to work effectively in collaboration with diverse groups of people and cultures
  • Excellence in organizational management with the ability to deliver quality being respectful of deadlines
  • Experience in event management or support
  • Diligent and proactive, ideally with proven track record in multitasking and remote working
  • Unwavering commitment to continuous education, particularly in new technologies
  • Strong written and verbal communication skills (French and English)
  • Action-oriented, entrepreneurial, adaptable
  • Detail-oriented, committed to unfaltering quality
  • Working knowledge of database structure and relations
  • Adept problem solver with the ability to multitask and produce out-of-the box solutions
  • Passion, idealism, integrity, positive attitude, mission-driven, and self-directed
  • Bachelor’s degree, with experience as an executive assistant, event manager or claims management
  • Past success working with a Board of Directors with the ability to cultivate existing board member relationships
  • Previous experience within a non-profit organisation as volunteer or Board Member would be an asset
