  • Responsible for buildings, facilities and security repairs and maintenance - ensuring regular maintenance contracts are in place, servicing is completed in a timely and effective manner.
  • Liaise and safeguard proper management of contractors and other relevant service providers. Also, manage their contract renewal.
  • Liaise with building owners and internal staff to ensure smooth operation of facilities.
  • Conduct regular inspection of facilities to ensure safety, identify and take preventive measures.
  • Improve the efficiency of operational processes and system improvement.
  • Conduct regular checks of the premises for potential safety hazards and unsafe conditions, initiate corrective measures to maintain a safe and healthy work environment.
  • Overseas physical security and internal system (Card Access System and CCCTV Surveillance System) to ensure protocols are followed and met. Monitoring of surveillance equipment.
  • Provide pro-active Move/Add/Change (MAC) services from project inception to completion/feedback in order to achieve the successful completion of the project within agreed cost, time and quality parameters.
  • Gather, organize and verify space planning data to determine the most efficient and cost effective method of layout/space utilization on a project by project basis.
  • Work with Project Team to conduct test fits and project execution.
  • Obtain stakeholder's approval on all final designs and vendor's cost to proceed with work.
  • Submit all necessary documents to respective parties for approval to proceed with work.
  • Coordinate and manage all vendors involved in FM services, MAC and project works.
  • Attend regular meetings with Project Team and stakeholders regards to MAC and project works.
  • Generally inspect and audit all items to be relocated before and after the move activities to ensure completeness and accuracy of inventory.
  • Responsible for tagging and tracking of fixed assets. Creating and maintaining inventory of furniture and equipment.
  • Update occupancy info capturing, layout changes update, space planning walk-through etc.
  • Update of seating plan for all buildings.
  • Manage the external warehousing for furniture storage.
  • Responds to stakeholder inquiries and complaints. Ensures timely and quality service delivery. Follows up to ensure satisfaction.
  • Coordinate building shutdown.
  • To provide 24/7 on support when necessary.
  • Any other duties as and when assigned.


Qualifications
  • 5 or more years of facilities management experience with exposure in project management, preferably in a financial institution.
  • Strong experience in project management and coordination.
  • Experience in maintenance in M&E, plumbing works will be an advantage.
  • Self-motivated, driven and possess good analytical/problem solving skills.
  • Able to understand technical drawings, specifications and requirements.
  • Able to work independently, a strong team player and to handle fast paced projects.
  • Good interpersonal, written and verbal communication skills for collaboration with stakeholders across all levels.
  • Independent and ability to multi task and meet multiple deadlines.
  • Strong in Microsoft office applications (i.e. Excel, Powerpoint, Word, AutoCad).
  • Diploma/ Degree in Engineering/Real Estate/Property Management with at least 5 years of facilities management experience.
