Job Summary:

Supporting the London based EMEA & APAC lead for Global Conflicts and her team. Predominantly to perform diverse administrative duties requiring confidentiality, a strong work ethic and common sense approach and must be a strong team player. All applicants should have a solid PA background and skill set.

Core Responsibilities:

  • Phone coverage for the EMEA, London based team
  • Advanced, proactive diary management for the EMEA lead for Global Conflicts
  • Scheduling of business selection calls - requires the co-ordination of senior management calendars, often at short notice for highly urgent business decisions
  • Manage the on boarding and off boarding of EMEA and APAC Global Conflicts staff - floor access, system access, first day process.
  • Meeting, conference calls, telepresence set up - internally and externally
  • General administration duties (Room bookings, filing, photocopying, scanning)
  • Manage the ongoing hardware and office supplies needs of the EMEA and APAC Global Conflicts teams
  • Manage travel arrangements: co-ordination of flights, check in, VISAs, accommodation and ground transportation logistics for EMEA and APAC Conflicts staff.
  • Management of expense processing through Concur, reimbursement, personal amounts owing and account reconciliations
  • System functionality expert - utilise internal systems, complete accurate data entry (Business Travel Tax program, Concur, eSource, Travel Portal, RSAM, IBID, EURC)
  • Become integral part of business, understand the responsibilities of Global Conflicts and how they support the business
  • Assist the Americas Conflicts teams with certain assistant coverage duties when the Americas assistant is absent.
Essential skills/experience:
  • Professional client handling and relationship building with Bankers and their administrative assistants
  • Exhibits a positive, common sense, constructive attitude to drive the scheduling of the crucial business selection calls and help manage time effectively
  • Polished, professional approach, calm and composed manner, ability to work in a pressured environment and partner effectively with peers
  • Has strong technical capabilities, a high level of attention to detail and delivers high quality results
  • Can demonstrate pro-activity and ownership within a role; can follow up without prompting and keep 1 step ahead of arrangement and requirements, solution oriented, displays good use of initiative and follow through to completion
  • Is a team player who can build networks and work in partnership
  • Is driven and can manage expectations through communicating proactively and often across different hierarchies
  • Has a strong degree of flexibility, is willing and open to change
  • Full competency in diary management, can apply good judgment and has an understanding of competing priorities
  • Experience of on boarding and off boarding individuals into the firm
  • Experience of effectively arranging travel, production of accurate itineraries
  • Awareness of expense arena, expense systems and cost control initiatives
  • Has an understanding of the culture of Investment Banking and the Corporate Bank
  • Can quickly grasp the political landscape and key people within the organization.
  • Has potential to act as a role model to their peers e.g. lead by example.
