Executive Assistant (“EA”)

Mayfair, London


£50,000 - £55,000


cer Financial are working alongside a private equity investment firm who are based in Mayfair. They are looking for a Executive Assistant to join them on a permanent basis.


The Responsibilities of a Executive Assistant Will Include:


  • Complex international diary management - scheduling of meetings, calls, flights and all related logistics across multiple diaries 
  • Accurate and timely production and submission of expense reports via Concur, ensuring all expenses are allocated correctly
  • Coordination and management of internal and external executive meetings, catering, dial-ins, video conference set-up, meeting materials
  • Assist with management of the CRM database including data entry, reporting and ensuring accuracy of information therein
  • Support the Senior Investment Professionals in the preparation and review of documents and presentations - to include printing and binding
  • Provide back-up support to other Executive Assistants & Office Manager when required
  • All other ad-hoc secretarial matters

Finance Support:

  • Assistance with accounts payable process, including management and payment of invoices and associated system work
  • Work with our tax advisors in assisting with VAT return preparation
  • Using the company’s accounting system to extract various reports upon requests from the FD
  • Maintenance of various expenditure reports and point of contact with various third-party suppliers
  • Programme administrator for Amex, including requesting credit cards and monitoring expenditure 

The Successful Executive Assistant Will Have:

  • Minimum 4+ years Assistant experience
  • Previous experience in a Private Equity (“PE”), Investment Banking or Strategy Consulting Firm advantageous (fast pace)
  • Previous experience or proven familiarity of technical/business terms relating to the PE industry
  • Previous finance assistance an advantage but not essential 
  • Professional level knowledge of MS Office - Outlook, Word, Excel, PowerPoint and a willingness to learn new software (such CRM and other IT and finance programmes)
  • Ability to quickly assimilate technical terms and represent correctly when producing documentation
  • Proven skills - typing business correspondence, etc.
  • Excellent professional written and verbal communication in English
  • Good numerical and analytical skills
  • Ability to work proactively whilst also taking advice and direction from direct supervisor and the team
  • Ability to interact with other members of the business as well as external parties
  • Must be able to multi-task effectively and yet provide a good service
  • Ability to work well with deadlines and under pressure
  • Fluency in Italian or Spanish would be an advantage
  • Professional, confident and mature demeanour with a great attitude and flexible mentality 
  • Strong interpersonal and communication skills 
  • Capable of approaching unfamiliar situations with a ‘can do’ attitude
  • Essential to be highly discreet, organised and detail oriented
  • Forward thinker who is comfortable working in a fast-paced and demanding environment with the ability to seamlessly work within teams and independently
  • Proactive thinker with ability to assume responsibility/own workload, follow through and add value
  • Resourceful, dedicated to meeting deadlines; positive attitude and able to manage stress
  • Excellent team player who works well with all levels of the organisation and is happy to roll their sleeves up to get a job done
