As a Senior Client Operations Officer, you will be responsible to manage and control the operational implementation of the various transactions and services on behalf of clients.

Region: UK/ Lux

Working hours: 1:00PM - 10:00PM (Malaysia time)

What will you do?

Within the perimeter assigned to him/her and depending on the specific constraints and organization of each unit of assignment (cut-offs, processing deadlines, etc.), the Senior Client Operations Officer may perform the following tasks:

Processing of client operations according to procedures

• Receive instructions and ensure their transcription or execution in the working tools in accordance with procedures in force.
• File the instructions received and manage archives/folders.
• Record and/or post operations to client accounts.
• Update the tools, databases and document repositories associated with his/her activities.
• Mobilize the internal units whose work is required to execute client instructions.
• Collect and control the information needed to process his/her files.
• Connect with the TA to follow up on the order placement.
• Perform control and reconciliation operations related to his/her activity.
• Address and resolve all types of blocks, rejections and anomalies affecting the flow of incoming and outgoing instructions in accordance with procedures in force.

Reporting

• Produce/update the activity reports identified by management.

Client relations

• Address requests and claims submitted by clients and counterparties relating to operations processed by the unit.
• Stay in touch with the Relationship Managers when handling any claim/request for information.
• Monitor the onboarding of new clients.

Compliance and quality

• Contribute to the continuous improvement of operating methods and information systems, participate in the formalization of needs vis-à-vis IT tools.
• Be an active, vigilant participant in fighting fraud, money laundering and the funding of terrorism.

Depending on the specific characteristics of the local market, the Client Operations Officer may be compelled to perform the following tasks:

Management of KYC data

• Analyses and checks KYC parts received against regulatory requirements.
• Creates and updates the reference database for third party KYC holders (corporate officers, beneficial owners).
• Is responsible over time for the reliability of the data included in the repositories under his responsibility.

Others

• Manage the collection and processing of client / investor requests (internal and/or external) to provide the functional response meeting the quality requirements as soon as possible.
• Document and regularly share his/her activities and projects with his/her team and line managers according to the processes/procedures in force and the required protocols and alert his/her line managers if difficulties are encountered or anticipated.
• Perform the analyses necessary to assess operations/services presenting a risk in relation to the regulatory framework or the internal procedures in order to report anomalies, recommend/take necessary corrective measures if necessary, and manage priorities.
• Organize and plan his/her work in order to comply with major milestones and deadline constraints. Be able to rigorously manage the time allotted to meet the defined objectives.

Candidate criteria

Minimal education level
Bachelor Degree / BSc Degree or equivalent

Academic qualification / Speciality

• An undergraduate or master's degree in accounting, finance, or another business-related field.
• At least 2 years of related experience in operations processes such as Fund Execution, Global Fund Platform, Investor or Fund Administration.

3-5 years

Good knowledge about Fund/Trust Industry and Financial Markets in general.
